Questions about your personal data?
Email info@sino-kyo.com with the subject “Privacy request”, or use our contact form.
1. Who we are
Sinokyo Group B.V. (“we”, “us” or “our”) is the controller responsible for the personal data described in this policy. We supply Japanese and Korean food and beverages to business customers. This policy applies to our website visitors, customers, suppliers and business contacts. You can contact us about privacy at info@sino-kyo.com.
2. Information we collect
The information we process depends on how you interact with us:
- Enquiries and correspondence: your name, email address, telephone number, company, message subject and information you choose to provide through our contact form, email or other communication channels.
- Business transactions: where relevant, business contact details, quotations, order information, invoicing and delivery details, payment references and related correspondence.
- Website use: technical information needed to operate and protect the website, which may include IP addresses, browser and device information, server logs and session or shopping-cart information.
We receive information from you and, where relevant, from the organisation you represent when it names you as a business contact. Company information is personal data only where it identifies a person. Please provide only information relevant to your enquiry or transaction.
3. How and why we use your information
- Answering enquiries and managing business relationships. We use contact details and correspondence to respond, prepare quotations and communicate with customers or suppliers. Our legal basis is our legitimate interest in operating our wholesale business and maintaining these relationships, balanced against your interests and rights.
- Preparing and fulfilling contracts. Where you are personally a party to a contract, we process information to fulfil it or take steps you request before entering into it. Where you represent a company, we rely on our legitimate interest in administering our relationship with that company.
- Meeting legal obligations. We process information needed for accounting, tax, record keeping and other applicable legal requirements.
- Operating and protecting the website. Our legitimate interests include maintaining reliable services, investigating errors and preventing misuse.
- Optional communications or features. Where a use of your data requires consent, we will ask for it for the specific purpose. You may withdraw that consent at any time.
Providing information is generally voluntary. Fields marked as required on a form are needed to process that request. Without the necessary contact or transaction details, we may be unable to reply, prepare a quotation or fulfil an order.
4. When information is shared
Where necessary for the purposes above, recipients may include providers supporting our website, hosting and business systems; delivery and logistics partners; banks and payment service providers; and professional advisers. Relevant information may also be disclosed to authorities when required by law or where necessary to establish, exercise or defend legal claims.
The information shared is limited to what is needed for the relevant service or obligation. Providers processing personal data on our behalf must act under appropriate data-protection arrangements.
5. International transfers
Business services or international deliveries may involve recipients outside the European Economic Area. Where this involves a transfer of personal data, an applicable legal transfer mechanism is required, such as a European Commission adequacy decision or appropriate safeguards. Contact info@sino-kyo.com for information about any transfer relevant to your data and how to obtain information about the applicable safeguards.
6. How long we keep information
We keep personal data for as long as needed to handle your enquiry, manage the relevant business relationship, meet legal obligations or resolve claims. Retention depends on the nature of the information, the status of the transaction and applicable legal time limits.
Basic business and accounting records subject to Dutch tax rules generally need to be retained for seven years; certain records require a longer statutory period. Other personal data is deleted or anonymised when it is no longer needed for the relevant purpose.
7. Cookies and external services
Cookies and similar technologies can support essential functions such as sessions, sign-in and shopping carts. Any additional cookies or tracking that require consent under applicable law must have your consent before use. You can also manage or delete cookies through your browser settings; blocking essential cookies may affect website functions.
Our website links to external services, including WhatsApp and social-media platforms. If you choose to visit or contact us through those services, their operators also process information under their own privacy policies. Please review those policies before sharing information with them.
8. Your privacy rights
Subject to the conditions in applicable data-protection law, you may request access to your personal data, correction of inaccurate information, deletion, restriction of processing and data portability.
You may object to processing based on legitimate interests for reasons relating to your particular situation. You may object to direct marketing at any time. Where we rely on consent, you may withdraw it without affecting the lawfulness of processing carried out before withdrawal.
To exercise your rights, email info@sino-kyo.com. We may ask for proportionate information to verify your identity. We normally respond within one month. If a permitted extension is necessary because of the complexity or number of requests, we will explain the reason and timing within that first month.
You may lodge a complaint with the Dutch supervisory authority, the Autoriteit Persoonsgegevens, or another competent data-protection authority, including the authority in the EU country where you live or work.
9. Protecting your information
Protecting personal data requires appropriate technical and organisational measures, taking account of the nature of the information and the risks involved. No website or communication method can guarantee absolute security. Please avoid including passwords, payment-card details or unnecessary sensitive information in ordinary enquiries.
10. Updates and contact
We may update this policy to reflect changes in our activities or legal requirements. The date at the top identifies the latest version. Where a change requires additional notice or consent, we will provide it as required.
